For food wholesalers, foodservice and suppliers

PIM for Food Wholesale

Your customers cook with your data Complete before it reaches them

For food wholesalers, foodservice distributors and the suppliers who deliver to them. WISEPIM turns supplier files and ERP exports into one checked catalog with allergens, nutrition and case data.

  • 70+ languages
  • Magento 2, Shopify Plus and Akeneo
  • GTIN check digit rules

Key features

  • Allergens and nutrition as fields

Ingredients, allergens and the nutrition table as typed fields, required per product family.

  • Case and pallet data

Units per case, case GTIN, weights and pallet layout in their own fields, checked by rules.

  • One catalog, every customer

Your webshop, ordering portal and customers get feeds, files or a Brand Portal from the same data.

Who it's for

Built for food wholesale catalogs

WISEPIM fits wholesalers and suppliers whose product data feeds other kitchens, shops and systems.

Built for you if

  • You carry 5,000 to 250,000 items across ambient, chilled, frozen and non-food.
  • Restaurants, caterers, care homes or shops order from your webshop, app or B2B portal.
  • You take in data from dozens of suppliers, each with its own spreadsheet or spec sheet.
  • Customers ask for allergens and nutrition per item, and today you answer by email.
  • You sell in more than one language, for example Dutch and French in Belgium.
  • You run Magento 2, Shopify Plus or Akeneo, or an ERP with a webshop on top.

Probably not yet if

  • You carry fewer than 2,000 items with little product data. A spreadsheet may still do. Try the free plan on a sample first.
  • You need to publish to retailers through GDSN. WISEPIM is not a data pool.
  • You just started a PIM migration. Finish it, then add WISEPIM as a layer on top.

Why food wholesalers look for a PIM

Where food wholesale data breaks

You sit between hundreds of suppliers and thousands of kitchens and shops. Every gap in your item data ends up on a customer's menu, order or label.

  1. Kitchens depend on your allergen data

Under EU Regulation 1169/2011 a restaurant or caterer must tell guests which of the 14 listed allergens a dish contains, also when nothing is prepacked. Most of that information comes from you.

  2. Every supplier sends a different sheet

One supplier sends Excel with its own codes, the next a PDF specification, a third an export from a data pool. Someone retypes ingredients and allergens into your ERP.

  3. Case and pallet data drift apart

Units per case, the case GTIN, weights and pallet layout live in different systems. One wrong pack size means a wrong order, a short delivery and a credit note.

  4. Your ordering portal shows empty fields

Many chefs order on a phone between services. Without a clear name, pack size, photo and allergens they pick the wrong item or call your sales desk.

  5. Recipe changes miss some channels

A supplier changes a recipe or a pack size. The ERP gets the update, the webshop and the customer files do not, and an old allergen list stays online.

  6. Every market needs its own language

EU rules require food information in a language consumers easily understand, and each country can set which. Belgium usually means Dutch and French, and export customers ask for German or English.

How WISEPIM solves it

What a food wholesale PIM does

Six jobs WISEPIM takes off your category, data and customer service teams, each backed by a feature you can open today.

  • Food fields, not free text

Ingredients, allergens, nutrition per 100 g, storage and best before become typed attributes on a product family, with the required ones marked. Keep "contains" and "may contain" as two separate allergen fields, because kitchens treat them differently. The food industry guide suggests a starting set, and you review it before anything is applied.

Every item has the same fields, so gaps show up.

  • Supplier files in one shape

Import CSV, Excel and XML with AI field mapping and a saved profile per supplier. Catalog Jobs complete a new supplier sheet, apply what they are sure of and send the rest to one Review queue. Stock and price files arrive through supplier sources by link, FTP, SFTP or email.

The next delivery from a known supplier imports without rework.

  • Case and pallet data you can check

Keep units per case, the case GTIN, gross and net weight and cases per pallet as numeric attributes with units. A formula rule checks that 12 × 0.5 kg matches a 6 kg case net weight, and a ratio rule flags a gross weight below the net weight, the sign of swapped columns. Every GTIN field gets a check digit test.

A wrong pack size shows up before a customer orders it.

  • Checked before it leaves

Quality Guard rules hold back items with an empty allergen field or an invalid GTIN before export. Once a family has ten or more values to compare, an outlier rule flags one that is far off, such as salt entered in milligrams instead of grams. AI quality review also screens for items where the allergen field and the ingredient list disagree.

Your customers stop finding the gaps for you.

  • AI drafts, people approve

AI writes item names, descriptions and translations into 70+ languages from your own data. In AI review, set the allergen and ingredient fields to "Ask me" and every AI change to them waits for a person in the Review inbox. The AI is instructed to write allergen-free claims only when your source data states them.

You decide which fields AI may change on its own.

  • A feed or file per customer

Feed Hub publishes hosted feeds on a schedule for your webshop and portal, and saved export templates give each customer a CSV or Excel file in their own column order. All of them read the same item, so a recipe change made once shows up in every feed and file the next time it is generated. Manufacturers can open a Brand Portal where wholesalers browse and download the range.

A new customer format is a new profile, not a new spreadsheet.

Where your data goes next

Where your B2B webshop runs on Magento 2 or Shopify Plus, or your product data sits in Akeneo, WISEPIM connects to it directly. Every other customer gets a feed or a file.

In the product

A quality score on every item

The product table puts the original description next to the enriched one and gives every item a quality score, so you see which items need work before a customer does. Filter the table on a Quality Guard rule to list every item that fails it, such as an empty allergen field.

Product table in a Food & Beverages project: original and enriched descriptions with a quality score per item.

Compared

PIM versus data pool and ERP

Your ERP stays the system of record for orders, stock and prices, and a data pool can stay your inbound source. The question is where the item data your customers order from should live.

Setup path

From supplier file to first customer

Start with one product group and one customer format, then widen the scope. How fast it goes depends mostly on how clean your supplier files are.

  1. Import one supplier file

    First day

Upload CSV, Excel or XML, or your ERP export. AI proposes the field mapping, you confirm it and save it as a profile for that supplier's next delivery.

  2. Set up your food families and fields

    First week

Start from the food industry guide, which suggests fields such as ingredients, allergens, nutrition, net weight, storage and best before. Then add what your customers order by: units per case, case GTIN, ambient, chilled or frozen, minimum shelf life on delivery and diet labels. Mark what is required per family.

  3. Send the first customer clean data

    First month

Install the identifier and B2B data exchange rule packs, fix what fails, then publish a feed or a file for your webshop, your portal or one key customer.

Food wholesale PIM questions

What food wholesalers and suppliers ask before they move their item data.

Yes. Model them so kitchens can use them. Use one multi-select field for the allergens a product contains and a separate one for "may contain", because a precautionary statement is not a declaration and chefs handle the two differently. Hold nutrition per 100 g or 100 ml in numeric fields with units, the basis the regulation uses. Keep the ingredient statement as text and the supplier's specification PDF in a file field on the same item. Mark the fields required on the family and add a Quality Guard rule that holds back items where they are empty.

Not as an import. WISEPIM imports CSV, Excel and XML, so first ask each supplier for the spreadsheet or data pool export behind the PDF. When a supplier only sends PDFs, attach the PDF to the item in a file field and enter the values once. Quality Guard then checks those values before every export, and the source document stays next to them for your QA team.

No software does that for you: the food business stays responsible for its food information. WISEPIM keeps the particulars you pass on in one place, checks them for gaps and contradictions before export, and keeps a history of field changes.

No. WISEPIM tests the GS1 check digit of GTIN-8, GTIN-12, GTIN-13 and GTIN-14 codes and flags duplicates, but it does not look codes up in a GS1 registry and it is not a GDSN data pool. You can import an export from your data pool as CSV, Excel or XML, and adopt GS1 GPC bricks into your category tree.

Keep units per case, the case GTIN, net and gross weight, dimensions and cases per pallet as attributes with units on the item you sell. Then add two Quality Guard rules. A formula rule (units per case × unit net weight matches the case net weight, within 1%) catches a wrong pack size. A ratio rule (case gross weight divided by case net weight between 1.0 and 1.3) catches swapped columns. The GTIN check digit rule works on the unit GTIN and the case GTIN alike.

WISEPIM has no separate packaging hierarchy. Keep one item per unit you sell, each with its own GTIN, and hold the pack data inside it as attributes, such as units per case and the case GTIN. Formula rules then check that the numbers on each item agree. If your ERP has one article number per unit, mirror that in WISEPIM.

AI can propose an allergen list from the ingredient text your supplier sent, but allergen data carries legal weight, so treat it as a draft. Set the allergen and ingredient fields to "Ask me" in AI review, and every AI proposal waits for a person in the Review inbox. AI quality review also screens for items where the allergen field and the ingredient list disagree.

Yes. Give purchasing and content a custom role that cannot edit the allergen, ingredient and nutrition attributes, and keep the edit rights on them with QA. The server checks those rights on every save. Set the same fields to "Ask me" in AI review, and every AI proposal for them waits in the Review inbox until a person accepts it.

No. Your ERP stays the system of record for orders, stock and prices. There is no ERP connector: item data comes in from ERP exports as CSV, Excel or XML, on a schedule with automations from the Business plan, and stock and price files can arrive through supplier sources by link, FTP, SFTP or email. API access starts on the Pro plan.

Probably not. The PIM for grocery page covers supermarkets and online grocery retail: shelf copy, reformulations and consumer channels. This page is for wholesalers and suppliers whose customers are kitchens, caterers and shops, where case data, ordering portals and customer files matter as much as the description.

WISEPIM is free up to 100 products. Paid plans are priced by product count, and every plan includes unlimited users. Quality Guard and automations start on the Business plan, API access on Pro. The pricing page lists every tier.
